Example timelines

What the first weeks look like for your type of clinic

These are examples of how a build usually runs. Every clinic is different: the order and timing depend on your list, your calendar and your phone setup, and we agree them with you on the call.

Example

Weight-loss, men's health and menopause clinics

Most enquiries arrive from ads and the website, often after hours. The past-patient list is people who enquired or started and then stopped.

  1. Day 0

A call with one of our consultants

We look at where your enquiries come from, how fast they're answered and how many past enquiries and patients are on your list.

  2. Build

Once the build fee is paid

You send your intake and patient list. We set up your CRM, connect your calendar, phone number, website forms and ad lead forms, and write the reply and follow-up messages for you to approve. Where your practice software is compatible, we link it too.

  3. Week one

    Past patients first

We start contacting past enquiries and patients who didn't book or didn't continue. New enquiries from ads and the website get an instant reply and an offer to book a consult.

  4. Weeks two to four

    Every new enquiry worked

Missed calls get a text back, no-shows get a follow-up to rebook, and anything clinical goes straight to your team. On the Growth plan, your ad campaigns bring in new enquiries alongside.

  5. Every month

    Your report

Enquiries, replies and booked consults for the cycle, and what we're changing in the follow-up next.

Example

Hearing and audiology clinics

Bookings are hearing tests, fittings and reviews, usually into one or two audiologists' calendars. The past-client list is people due for a review who haven't booked one.

  1. Day 0

A call with one of our consultants

We look at how hearing-test enquiries reach you, who answers when you're with a client and how many past clients are on your list.

  2. Build

Once the build fee is paid

You send your intake and client list. We set up your CRM, connect the owner's or audiologist's calendar and your phone number, and write the reminder and follow-up messages for you to approve.

  3. Week one

    Past clients first

We start contacting past clients who haven't been back, with an offer to book a review. New enquiries get an instant reply and a booking link.

  4. Weeks two to four

    Reminders and no-shows

Every booking gets a confirmation and reminders. Missed calls get a text back and no-shows get a follow-up to rebook.

  5. Every month

    Your report

Enquiries, replies and booked appointments for the cycle, and what we're changing next.

Example

GP clinics

The work is mostly the phones: the front desk can't answer every call at peak times. We work with the practice manager, and your practice software stays as it is.

  1. Day 0

A call with one of our consultants

Usually with the practice manager. We look at missed calls at peak times, how no-shows are handled and how many lapsed patients are on your list.

  2. Build

Once the build fee is paid

You send your intake and patient list. We set up your CRM, connect your calendar and phone number, and write the text-back and follow-up messages for the practice manager to approve.

  3. Week one

    Lapsed patients first

We start contacting patients who haven't been in for a while, with an invitation to book. Missed calls get a text back from the first day.

  4. Weeks two to four

    No-shows and overflow

No-shows get a follow-up to rebook. Anything clinical, including any question about results or medications, goes straight to your team.

  5. Every month

    Your report

Calls, replies and booked appointments for the cycle, and what we're changing next.
